Who this covers
This policy explains how Fixmark Group LLC (“Fixmark Group,” “we,” “us”) handles information collected through this website, our forms, our text-message program and the work orders we perform for clients. Our Terms of Service explain the rules for using our site and services.
Information we collect
- Details you send us: name, company, email, phone number, site address, the services you need and anything you write in a message.
- Vendor and client records: contracts, purchase orders, W-9s, certificates of insurance, invoices and payment details needed to do business with you.
- Work-order records: job notes, photos, check-in and check-out times and location stamps, described below.
- Technical data: our web host records basic request data such as IP address, browser type and pages requested, to keep the site secure and working.

Work-order photos
Our techs take photos before, during and after a job so the client can see the problem and the finished repair. Photos are aimed at the work area. Techs are instructed not to photograph people, faces, vehicle plates, screens, documents or security equipment beyond what the job requires. If a person or private detail is captured by accident, we crop or blur it or delete the photo on request.
Photos are shared only with the client that ordered the work, the property owner or manager they act for, and the work-order platform the client uses. We do not publish job photos without the client’s written permission.
GPS check-in data
When a tech checks in or out of a work order, the mobile app in use (ours or the client’s platform) records the time and the device’s location at that moment. We use this to confirm arrival and departure, measure response times, support accurate billing and resolve disputes.
- Location is captured at check-in and check-out, not tracked continuously, and not collected when a tech is off the clock.
- Location stamps are shared only with the client for that work order and the platform provider that records them.
- We never sell location data or use it for advertising.
- Location stamps are kept with the work-order record for the retention period below.
Our techs are told about check-in location capture when they are hired.
How we use information
- To reply to requests, prepare quotes and schedule and perform work
- To document work orders and send closeouts to clients
- To invoice, collect payment and keep tax and business records
- To send text messages to people who have opted in (see the next section)
- To complete vendor onboarding and meet insurance and contract requirements
- To keep the site and our systems secure and to comply with the law
Text messages (SMS)
Program. Fixmark Group (Fixmark Group LLC) sends text messages about quote follow-ups, scheduling, arrival notices, work-order status and service updates. We send texts only to people who opt in.
How you opt in. Tick the optional text-message box on one of our forms, or ask us in writing to text you. The box is never pre-checked and is not required to send a form. The consent wording shown next to the box is:

Not a condition. Consent is not a condition of purchase.
Sharing. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except service providers that deliver our messages.
Carriers. Mobile carriers are not liable for delayed or undelivered messages.
How we share information
We do not sell personal information. We share it only as follows:
- Service providers that work for us under confidentiality terms: our form processor (Formspree), web host (Cloudflare), text-message and phone provider, email provider, and accounting and payroll tools.
- Clients and platforms for the work orders we perform for them, as described above.
- Legal reasons: when required by law, subpoena or court order, or to protect rights, property or safety.
- Business transfer: as part of a merger, sale or reorganization, subject to this policy.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.
How long we keep it
- Inquiries that do not become work: up to 24 months after the last contact
- Work-order records, including photos and check-in location stamps: up to 7 years after the job, for contract, warranty, tax and insurance purposes
- Text-message consent and opt-out records: at least 5 years after the last message, so we can prove consent and honor opt-outs
- Vendor and client onboarding records: for the relationship plus 7 years
- Web host request logs: for the short periods our host sets
When information is no longer needed we delete it or make it anonymous.
Security
We use access controls, encrypted connections and reputable providers to protect information. No system is perfectly secure, so please do not send sensitive personal information, such as Social Security or bank numbers, through our website forms.
Your choices and rights
You can ask us to show you, correct or delete the personal information we hold about you, or to stop using it for any purpose other than completing work you requested. Texas residents may have rights under the Texas Data Privacy and Security Act, and we honor these requests whether or not that law applies to us. Email the address below. We will confirm your identity and reply within 45 days. If we decline a request, you may appeal by replying to our decision, and we will answer the appeal within 60 days. We will not treat you differently for exercising these rights.
To stop text messages, reply STOP at any time.
Children
This site and our services are meant for businesses. They are not directed to children under 13, and we do not knowingly collect information from them.
Changes to this policy
We will post any change here and update the date at the top. If a change affects how we use text-message consent, we will ask for consent again before relying on it.
